This Privacy Policy explains how Patrol 6, LLC ("Report 6", "we", "us") collects, uses, and retains information when you use the Report 6 mobile app and related services (the "Service"). Report 6 lets you walk a site, narrate what you see, and automatically generate a photo-mapped field report.
1. Information we collect
To generate your reports, Report 6 collects the following, only while you are using it:
- Audio recordings. Your narration is recorded continuously by the microphone while you record a report.
- Photos and images. The camera captures photos automatically (about one per second) while you record a report, plus any images you add.
- Precise and approximate location. Your device's GPS route is recorded while you record a report, so findings can be placed on the report map. Location is captured only during recording and stops when recording stops.
- Account identifiers. Your email address, and your name if provided through Google or Apple sign-in. We also process account and device identifiers inherent to our infrastructure (for example, a Firebase user ID and installation ID).
- Report content you create. Transcripts of your narration, findings, annotations, templates, and other text associated with your reports.
- Diagnostic and troubleshooting data. The app keeps a local diagnostics log (for example, battery, thermal, memory, and network state, and in-app screen/button events). This stays on your device by default and is only uploaded to us if you or our support team initiate a diagnostics upload to resolve a problem.
Report 6 does not include advertising, does not use an advertising identifier, and does not track you across other companies' apps or websites.
2. How we use your information
- To generate your reports using AI. Your audio, photos, and location are processed to transcribe your narration (speech-to-text) and to generate the finished report (report generation).
- To provide core app functionality, such as building the map, placing photos, and producing the PDF.
- To manage your account and let you sign in.
- To provide support and troubleshoot issues, when you request it.
3. How recording works
Recording only happens when you start a report, and it is clearly indicated on your device (for example, a persistent recording indicator in the app and the system camera/microphone indicators). On some devices, recording continues while the screen is off or the app is in the background so a walk is not interrupted; the recording indicator stays visible the whole time. You start and stop every recording yourself.
You are responsible for recording only where you have the right to record people, property, audio, and conversations. Recording, privacy, and consent laws vary by location.
4. Service providers we share data with
We do not sell your personal information and we do not share it for advertising. We use a small number of service providers who process data on our behalf, under contract, only to provide the Service:
- Google Cloud Platform / Firebase (United States) — sign-in, database, file storage, and the backend functions that build your report.
- Deepgram (United States) — speech-to-text transcription of your narration.
- Mapping and geocoding services (United States) — convert report coordinates into the report's street address.
- Our AI report-generation provider (United States) — a cloud AI service that turns your transcript and photos into the finished report. Your content is not used to train the provider's models.
- Resend (United States) — transactional email, such as sign-in verification and report share notices.
- Apple MapKit — renders the report map. Map rendering happens on your device.
All data is encrypted in transit and at rest. Each provider is bound by a written data-processing agreement and may use your data only to deliver the Service to us.
5. How long we keep your data
- On your device (primary copy). Your finished reports live on your device and remain there until you delete them.
- Cloud copies used for processing. The audio, photos, and location we upload to build a report are automatically locked and deleted within 72 hours after a report is finalized.
- Shared links. If you share a report by link, that link expires 7 days after it is created.
- Account information is kept until you delete your account.
- Uploaded diagnostics (if you send them for support) are kept only as needed to resolve the issue.
Imagery and audio in the cloud that a finished report does not reference are removed as part of the automatic cleanup above.
6. Enterprise (company) reports
If a company you work with has invited you and connected your Report 6 account to its own workspace, reports you submit to that company are uploaded to that company's account, and the company is the controller of that data under its own retention policy (typically a longer retention window than the consumer Service). Those company reports are not covered by the consumer retention windows above, and deleting your personal Report 6 account does not delete them. To request deletion of company reports, contact the company.
7. Your rights and choices
- Access and deletion. You can delete your account and its associated cloud data at any time from within the app. See Delete your account for details on what is removed.
- Permissions. You control camera, microphone, and location access through your device settings; the app cannot record without them.
- Requests. To ask about the data associated with your account, email support@patrol6.com.
Depending on where you live, you may have additional rights — for example, to access, correct, delete, or obtain a portable copy of your personal information, and to complain to a data protection regulator. The Report 6 App Privacy Policy sets out those rights in detail for the United States, the United Kingdom, Canada, and Australia.
8. People captured in reports
Continuous capture in public or workplace settings may include other people, vehicles, and audio in the background. The automatic deletion of unreferenced cloud imagery and audio described above is intended, in part, to limit how long such incidental data is retained. If you are captured in a report and want it addressed, contact the person or company who created the report, or email support@patrol6.com.
9. Children
Report 6 is a tool for work and is not directed to children. We do not knowingly collect personal information from children. You must be at least 16 years old to create an account, and 18 or older to use Report 6 in a workplace.
10. Security
All traffic between the app and our services is encrypted in transit (TLS). No method of storage or transmission is completely secure, but we take reasonable measures to protect your information.
11. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you in the app.
